How to Build an Invoice and Expense PDF Pack
Turn invoices, receipts, and supporting documents into one ordered, numbered, and shareable PDF expense pack.
· 6 min read
Expense records rarely arrive as one tidy document. An invoice may be a PDF, its receipt may be a scan, and the approval or delivery note may be another attachment. Sending these files separately makes review slower and increases the chance that something is missed.
An invoice and expense pack combines the related evidence into one PDF with a predictable order and continuous page numbers. It is easier to review, archive, and reference in an email or accounting note.
Decide the structure before merging
- place a summary or cover sheet first when one is required
- keep each invoice close to its matching receipt or supporting document
- use chronological order when reviewers expect a monthly sequence
- remove duplicate scans and blank pages before the final merge
Use file names that explain the order
Names such as 01-summary, 02-hotel-invoice, and 03-hotel-receipt make a batch easier to arrange and rebuild later. Clear names also help you catch a missing attachment before processing the pack.
Compress only when it helps
Photo scans often make expense packs unnecessarily large. Compressing image-heavy sources can make the final document easier to upload or email. Text-only invoices may already be efficient, so forcing compression on every small file can waste time without producing a meaningful reduction.
Merge, then number the complete pack
Continuous page numbers are most useful after the files have been merged. A reviewer can then refer to page 14 of the complete pack instead of page 2 of an unnamed attachment. Numbering also makes it easier to confirm that no pages disappeared during sharing or printing.
Final quality check
- open the downloaded PDF and confirm the first and last page
- check that every receipt follows the correct invoice
- make sure small receipt text remains readable after compression
- verify that page numbers do not cover totals, signatures, or footer text
- confirm the final size meets the destination portal or email limit
A guided Flow reduces repeat work
If you prepare the same kind of expense pack repeatedly, a guided Flow keeps the important operations together. LeafDeck’s Invoice & Expense Pack is designed as a free example: arrange the documents, apply compression when needed, merge the batch, and add continuous numbering in one guided run.
